Data we process
We process account details needed to sign in, uploaded PDF manuscripts, optional required-term files, generated indexes, exports, processing logs, payment status, payment identifiers, support messages, and download records needed to operate and secure the service.
Why we process it
We process data to provide the indexing workspace, generate and export indexes, manage accounts, take payment, prevent abuse, troubleshoot failed jobs, comply with legal obligations, and respond to support requests.
Legal bases under GDPR
We rely on contract performance to provide paid and free services, legitimate interests for security and service improvement, legal obligation for accounting and tax records, and consent where a feature specifically asks for it.
Payments and processors
Single Book checkout is handled by PayPal when PayPal is the active provider. IndexGenie stores payment identifiers and status, but payment card or wallet details are handled by the payment provider. Stripe and Mollie integrations may be used when configured. Hosting, storage, email, and payment providers process data only as needed to deliver the service.
No tracking cookies
IndexGenie does not use advertising cookies, analytics cookies, or third-party tracking cookies in the application. Sign-in state is stored locally in the browser so the workspace can keep you signed in.
Retention and deletion
Uploaded manuscripts and generated files remain available in the workspace until the user or an administrator deletes them. Operational logs, payment records, and accounting records may be kept for as long as needed for security, support, dispute handling, and legal compliance.
Your GDPR rights
If GDPR applies to you, you can request access, correction, deletion, restriction, portability, or objection to processing. You can also withdraw consent where processing is based on consent. We may need to verify your identity before completing a request.
International transfers
Some providers may process data outside your country. Where required, we use appropriate safeguards such as contractual protections or provider transfer mechanisms.
Security
We use access controls, authentication, service logs, and operational safeguards to protect manuscripts and account data. No online service can guarantee absolute security, but we limit access to what is needed to operate and support the service.
